What breaks in hotel transportation today.
At most hotels, guest transportation still runs on phone calls and paper. The front desk calls a car company, reads out the guest's name and flight, writes the booking in a log — and then has no way to see whether the car is on its way. Guests wait in the lobby asking the desk for updates the desk doesn't have.
At the end of the month the car company sends an invoice, and someone at the hotel matches it line by line against the log to work out which rides were for which guests, which were complimentary and which should go on a room folio. Rides booked by the night shift, cancelled rides and no-shows make it worse.
Hotel transportation software replaces that chain with one shared record: the desk books, the operator dispatches, the guest is updated, and the ride lands on the hotel's statement automatically.
Phone and spreadsheet vs. NEXRIDE.
The same guest ride, handled two ways.
| Task | Phone & spreadsheet | NEXRIDE |
|---|---|---|
| Booking a ride | Call the car company, read out the details, write it in a log | Front desk books in the portal in under a minute, with flight details and notes |
| Guest updates | Guest asks the desk; the desk calls the company | Guest gets ride details and a live tracking link by text |
| Airport pickups | Flight number passed by phone, often lost between shifts | Flight number and meeting notes travel with the booking to the driver |
| Who booked what | Handwritten log, different per shift | Every booking recorded with staff member, guest and time |
| Monthly billing | Match the operator's invoice against the log by hand | One statement per hotel account, ride by ride |
| Driver pay | Settled by the operator days or weeks later | Owner and driver funded the moment each card ride ends |

For hotels — and for the companies that drive their guests.
Transportation operators use NEXRIDE to win and serve hotel accounts: each hotel gets its own booking access, guests ride in the operator's vehicles, and the hotel receives one clear monthly statement.
Hotels and resorts that run their own vehicles use the same tools to organize airport runs and local trips. Either way, it runs on the NEXRIDE platform alongside airport transfer software and limo booking software. Clinics and senior living communities book patient and resident trips the same way with NEMT software.
Hotel transportation questions
What hotels and their transportation partners ask about guest rides on NEXRIDE.
What is hotel transportation software?
Hotel transportation software lets hotel staff arrange rides for guests — airport transfers, local trips and shuttles — and track and bill them, without phoning a car company for every booking. NEXRIDE connects the hotel, the transportation operator and the driver on one platform.
Can front-desk staff book rides for guests?
Yes. Staff book on behalf of a guest with their name, phone number, number of passengers, pickup time and notes for the driver.
Does it handle airport transfers?
Yes. Guests' airport rides include the airport, terminal, flight details and meeting notes, priced with your airport rates.
Do guests get updates?
Yes. Guests receive their ride details and can follow the driver's arrival live, so they know when to head to the lobby.
Can rides be billed to the hotel instead of the guest?
Yes. Rides can be charged to the hotel's account and listed on a monthly statement for the hotel.
Is this for hotels or for transportation companies?
Both. Transportation operators use NEXRIDE to serve hotel accounts under their own brand, and hotels and resorts use it to run guest transportation.
Can each hotel have its own booking access?
Yes. Each hotel or property gets its own account with staff logins, so bookings, guest rides and statements stay separate per property.
Can we set different rates for each hotel?
Yes. Operators can agree rates per hotel account — for example flat airport transfer rates — and those rates apply automatically to that hotel's bookings.
Do guests need to download an app?
No. Front-desk staff book on the guest's behalf, and the guest receives ride details and a live tracking link by text message. Guests who ride often can also book in the operator's branded app.
How much does hotel transportation software cost?
Pricing depends on the number of properties, vehicles and features you need. Book a demo and we'll prepare a quote.
